  • Direct report: Logistics Director.
  • Provide administrative assistance to the Logistics Director and support: Chairman, family, and other company executives as required.
  • Assist the Chairman and family with corporate and personal matters which will include processing incoming communications such as telephone calls, letters, memos, e-mails, requests for information, etc.
  • Compose correspondence (formal letters, e-mails, memos, etc.)
  • Perform research and assist with special projects and reports.
  • Process expense reports (corporate and personal & other family members).
  • Assist immediate family, staff, and friends which will include logistics (hotel reservations, accommodations for worldwide trips, arrange ground transportation, etc; obtaining visa requirements; coordinate with other family members, staff, and offices as necessary).
  • Responsible for operation, processing all bills, maintenance, cleaning services, repairs, utilities, etc., of all of the Miami residences.
  • Run errands for family and Logistics Department.
  • Update rolodex, phone book and palm pilots as well as contacts.
  • Cover reception when necessary.
  • Strong knowledge of Microsoft Outlook e-mail, Excel, Microsoft Word.
  • Knowledge of Power Point would be helpful not absolutely necessary (willing to learn).
  • Person with a high integrity, very professional (demeanor, attire, and presentation), and who takes great pride in their work.
  • Completely bilingual (English-Spanish) and multi-cultural (Anglo- Saxon and Hispanic) awareness; strong command of English language (especially verbal and written) even if Spanish is not quite as strong; good working knowledge of Portuguese (speak, write, and read) would be a big plus (not a must).
  • Extremely flexible with a high energy level (open to learning and ever-changing environmentno two days are alike).
  • Work well under pressure and not easily frazzled or overwhelmed.
  • Must be a self-starter, self-motivated, and very disciplined individual.
  • Flexible to work long hours as required (minimum 10 hrs./day).
  • Hours may be 10 AM-8 PM and may change to 8:30 AM-6:30 PM when necessary.
  • Flexible to travel if necessary.
